Once a document says what you need it to say, you can lock it as the published version, hand it off in another format, and work on it with your team. Everything here lives in the document editor under a team’s Content — see Documents and the editor to create one first.

Publish or keep as a draft

Every document has a status: Draft, Published, or Archived. A draft is your working copy; publishing marks the document as the finished, read-only version.

Open the document options

In the open document, click the options () menu in the header.

Choose Publish

Select Publish to move the document from Draft to Published. To edit it again later, open the same menu and choose Convert to draft.
A Published document is read-only in the editor. Convert it back to Draft to make changes, then publish again. You can also change status per row (or in bulk) from the Documents list.
Some documents are locked Snapshot reports — for example, a report an Automation generated on a schedule. These cannot be edited at all; the banner asks you to Duplicate the document first, then edit the copy.

Export and print

Use the document options () menu to take a document out of Erstan in the format the recipient needs. Export does not change the document’s status — your copy in Erstan stays as is.
A few format details to expect: PDF is produced through your browser’s print dialog (choose Save as PDF), so the layout follows your print settings. Tables (.xlsx) exports the document’s table blocks into a workbook. For Word, charts are captured as images so they carry across.

Comment and mention teammates

Documents support inline comments so reviewers can leave feedback without changing the text.

Select text or a block

Highlight the words or click into the block you want to comment on.

Add a comment

Choose Comment to attach a note. Commented text is marked inline so others can find the thread.

Mention a teammate

Type @ in a comment to mention a member of your team or workspace and pull them into the discussion.

Track threads in the Comments panel

Open the Comments panel from the document’s right-hand rail to see every thread in one place.
The right-hand panel also holds Properties (with Outline, Info, and Assets tabs) alongside Comments — a quick way to jump around a long document and see what is attached to it.

Version history and restoring revisions

Erstan keeps a revision history as you and your teammates (and agents) edit a document, so you can review earlier states and roll back if needed.
  • Open the document’s Properties panel to reach its history.
  • Browse earlier revisions and restore any one of them to make it the current version.
  • Documents created by an agent carry a Created by agent badge in the header, so you can tell at a glance where the content came from.
Letting an agent edit a document is a write action. By default the agent pauses for your approval before each change; you can opt into Auto-approve writes, which is remembered for that chat thread. Review changes before turning it on. See Approving and rejecting AI actions.

Common questions

It is most likely Published (read-only until you Convert to draft) or a locked Snapshot report (which you must Duplicate before editing).
PDF export runs through your browser’s print pipeline. Adjust margins, scale, and headers in the browser’s print dialog before choosing Save as PDF.
Use Subscribe from the options menu to follow a document, and Unsubscribe to stop. Pin helps you keep an important document close.
